PRIDE Centre Meeting Minutes

April 5, 2011

Present: Emma, Tanner, Sarah, Devonlynne, Josh, Kristie, General Members

1.      Welcome (7:16pm)

2.      Reid Hollander

2.1.   Nice website, kudos to Josh! J

2.2.   Treasurer for Lethbridge PRIDE Fest

4.      Approve last meeting’s minutes

4.1.   Kristie approves them. She loves me!

5.      PRIDE Resource Centre Update

5.1.   Construction has started!!

5.2.   Should last a month, should have it by May, so we can make it perfect by September

5.3.   Heather in counselling services to do training for the centre

5.4.   Karol from the Student’s Union is getting us furniture

5.5.   Talking to Sherry tomorrow update on detail things

6.      Elections!

6.1.   Executive positions and duties:

6.1.1.      President: 
• Chair all business meetings unless unavailable. 
• Represent PRIDE Centre at meetings of the SU clubs council and other venues requiring club representation. 
• Attend all social events hosted by PRIDE Centre. 
• Inform the Vice-President at least two full weeks in advance if they are unable to attend any of the previously stated functions. 
• Be responsible along with the Vice-President for keeping persons in the PRIDE CENTRE membership and mailing list informed of PRIDE Centre related affairs. 
• Have signing authority for PRIDE Centre related funds. 
• Be responsible for the organisation of any PRIDE Centre outreach (especially class presentations). 
• Ensure that each of the executive members is fulfilling their responsibilities. 
• Be responsible for annual ratification of PRIDE Centre as an SU club. 
• Be responsible for fulfilling any of the duties of the Vice President at a business meeting which they cannot attend. 

6.1.2.      Vice President: 
• Chair PRIDE Centre business meetings, represent PRIDE Centre at meetings of the SU clubs council, and be required to attend all social events in the absence of the President. 
• Be responsible for keeping the PRIDE Centre mailing list up to date. 
• Assist the President in keeping PRIDE Centre members and mailing list informed on PRIDE Centre related affairs.
• Assist the President in any PRIDE Centre related organisational duties. 
• Be responsible for the coordination of any media/public relations and publicity.  Any releases must be 
approved by the president. 
• Fill any other position on the executive in an acting capacity in the event that they are not filled by the beginning of the school year until a candidate can be elected as outlined in article 7. 
• Be accessible to members to address concerns regarding PRIDE Centre affairs. 
• Be responsible for taking minutes at each PRIDE Centre business meeting in the absence of the Secretary and deliver those minutes at the next meeting. 
• Be responsible for delivering the report of the Treasurer in the event of their absence at a business meeting. 

6.1.3.      Secretary:
• Be responsible for taking minutes at each PRIDE Centre business meeting. 
• Be responsible for submitting minutes via email to the President and Vice President, enabling them to 
keep the membership informed. 
• Deliver previous meeting's minutes at the start of each business meeting, except from those where the Secretary was not present. 
• Represent PRIDE Centre at the SU clubs council meetings in the event that neither the President nor the Vice-President are able to attend. 

6.1.4.      Treasurer Shall: 
• Maintain an accurate record of funds available to PRIDE Centre. 
• Deliver expense/financial reports at business meetings as necessary. 
• Submit reports to the Vice President at least three full days in advance if they are unable to attend a business meeting. 
• Have signing authority for PRIDE Centre related funds. 

6.1.5.      Activity Coordinator:
• Form a committee with at least two other members to plan and organize events.
• Delegate tasks to members of Activity Committee (may involve a additional committees, etc). 
• Oversee the organization and execution of events.
• Deliver reports at business meetings as necessary.
• Submit reports to the Vice President at least three full days in advance if they are unable to attend a business meeting.

6.1.6.      Website Administrator: 
• Oversee maintenance of the PRIDE Centre website. 
• Continually update the online PRIDE Centre Calendar of Events. 
• Submit all threats and/or website hackings to the President and Vice President 
• Be responsible for updating all other PRIDE centre online material (Eg.  Facebook, blog). 
• Contact IT Services with any IT issues. 
• Deliver reports as necessary at business meetings. 
• Submit reports to the Vice President at least 3 days in advance if they are unable to attend a business meeting.

6.2.   Non-executive positions: 2 Resource Centre Co-Coordinators

6.3.   2 non-voting persons to collect and count ballots: Reid and Clinton

6.4.   Nominations (each given in turn, followed by any discussion and voting by secret ballot)

9.      Other events

9.1.   Women’s Centre bake sale Wednesday 11-4 in SU lobby

9.1.1.      Buy stuff so they can give us more money

9.2.   Lethbridge Students 4 Life will be hosting a round-table discussion about abortion on Thursday night, April 7 at 7:30 pm in Turcotte Hall 241

9.2.1.      Come it will be interesting

9.2.2.      Invited the Philosophy club, us, etc.

9.3.   GALA/LA’s over 30 dance Saturday

9.4.   Day of Silence

9.4.1.      April 15 

9.4.2.      Big in North America

9.4.3.      People take an oath not to talk that day, for all the people who see the bullying and don’t do anything or to represent the silence people feel

9.5.   Federal election!

9.5.1.      There is no excuse not to vote, unless you are American like Josh

9.5.2.      May 2nd after the Royal Wedding April 29, or advance vote

9.5.3.      Be informed, and vote. Just spoil your ballot.

9.5.4.      SU will do a get out a vote campaign

9.5.5.      Affects all of us

9.6.   Lethbridge Pride Fest

9.6.1.      Here for the party!

9.6.3.      Dance, Church Services, Appreciation Dinner, Sports Days, Rhino Film Festival,  Out in the Park

9.6.4.1.            We will host it

9.6.4.3.            Check to be sure we can use them in their advertising.
